NRC BROADCASTING OFFICE MANAGER Job Title: Office Manager/Receptionist/Traffic Assistant Reports To: Director of Traffic Summary: To project desired company image in person and over the phone by providing support services and professional manner that contributes to the total marketing effort and enhance the stations leadership in Avon as the dominant broadcast source of quality information, entertainments and community involvement while creating and internal climate which insures growth and profitability. To organize and control all business matters in compliance with NRC Broadcastings policies; to maintain records of business activity in such fashion as to facilitate good internal control, meaningful and timely reporting and compliance. Essential Functions: 1. Enthusiastic attitude; friendly and helpful to visitors, callers and employees. 2. Answer all incoming phone calls. 3. Good organizational skills. 4. Typing skill: minimum 40 words per minute with understanding of computer programs such as Microsoft Word and Excel. 5. Desire to learn new skills and be a problem solver. 6. To sort and distribute mail to appropriate personnel and handle all outgoing mail. 7. Prepare for personal growth and development. 8. Willing to work in a smoke free environment. Responsibilities: 1. Answer all incoming phone calls. To have full knowledge of the phone system; how to update, make changes and teach other employees the voicemail system. A. Assist callers by answering most questions or referring call to appropriate person/voicemail. B. Direct all sales call-ins to Steve/Holli or appropriate sales person in a timely manner. 2. Greet all station visitors and appropriately assist them with prizes, information, sales and production needs. Help guests feel comfortable i.e. offer refreshments, coats, etc. 3. Develop sufficient familiarity with stations formats; help with the development of programming information sheets and media kits. 4. Develop and maintain an effective working relationship with everyone with whom you interact while performing job responsibilities. 5. Give out applications for employment, make sure new employee forms are filled out correctly and forward completed application forms to Director of Human Resources. 6. Ensure office security by verifying visitors are cleared, improve and update safety of the office space including fire, security, and accident prone areas. Be a part of seasonal safety meetings. 7. Maintain neat appearance of lobby and fax areas. 8. Gatekeeper of the Public Files. Make sure that the latest, up to the date information is included in an organized manner in the public files. Know all FCC procedures and inform management of any Public File discrepancies. 9. Create a computer database and hard copy of all office related forms as they are updated. Make sure employee staff has the latest forms available to them. Continue to update the Advertising List, Company Phone List, and Sponsorship avails on a monthly basis. 10. Maintain an up to date database of all company logos. 11. Maintain all office equipment and supplies. Understand how to fix all office equipment and call for maintenance when needed. Oversee and order ALL office supplies in the office and maintain invoices and cost per month. 12. Assist the General Manager/Director of Traffic with letters, flyers/posters, newspaper ads, other documents, entering orders, station logs, billing, and filing. Also help conduct informational needs such as surveys and directories.] 13. Distribute all faxes in a timely manner and get important newsworthy faxes to the News Director and live on-air talent. 14. Set up and continue e-mail distribution list contacts; enhance communications. 15. Listen to stations daily, report all errors promptly to management and staff. 16. Motivate staff to improve procedures and work environment. Work to enhance skills of self and staff. Implement training programs, particularly in computer software knowledge and job skills. 17. Maintain a businesslike atmosphere, good work habits and good physical organization. 18. Follow NRC guidelines as defined in the Employee Handbook.
